Virtual Huddle

Collaboration

Overview

Virtual Huddle is a persistent collaboration panel that keeps your team connected without leaving the project. It sits alongside your regular work and combines a live video call, a shared notes editor, a team discussion board, and a private scratch pad — all scoped to the project you are currently working in.

The panel slides in from the right side of the screen. Closing it never loses any data — notes, discussion topics, and standup entries are all saved on the server.

Opening the panel

1Select your project from the project switcher in the top navigation
2Click the Virtual Huddle icon in the top navigation bar
3The panel expands on the right. Use the Collapse (⤡) button in the panel header to hide it again

Panel header

The top of the panel shows the Company — Project name so you always know which context you are in. Below the header is the video call area, and beneath that the tabbed navigation for the four features.

What's inside

Virtual Huddle contains four areas. Each has its own dedicated guide — use the sidebar to navigate to the one you need.

AreaWhat it does
Virtual Huddle CallingProject-scoped Jitsi video call — start or join a live call with your team without leaving the tool.
Huddle NotesDate-based collaborative editor shared across the team. Includes the Daily Status (standup) entry.
Topics for DiscussionA shared agenda list for the next huddle, with a live count badge showing open items.
Note to SelfA private scratch pad — only you can see it. Saved per user, not shared with the team.

Real-time synchronisation

Virtual Huddle uses a live WebSocket connection per project. When a team member adds a discussion topic, edits the huddle notes, or marks an item as done, all other open sessions update immediately — no page refresh needed. If the connection drops, it reconnects silently in the background.

Timezone

Huddle Notes dates are anchored to the project timezone set in Project Settings → General → Timezone. This ensures the whole team sees the same "today" regardless of where members are located. If no timezone is configured, the default is America/Phoenix (MST/MDT).

Troubleshooting

The Virtual Huddle panel does not appear

Click the Virtual Huddle icon in the top navigation bar. The panel shows only when a project is selected. If no project is active, switch to a project first.

The panel header shows no project name

The company and project name load from the project switcher. Select a project from the switcher at the top of the page.

Notes and discussions are wrong for this project

All Virtual Huddle data is scoped to the currently selected project. Switch to the correct project from the project switcher and the panel will reload.

Huddle Notes use the wrong date for "today"

Dates are anchored to the project's configured timezone (Project Settings → General → Timezone). If no timezone is set, the default is America/Phoenix (MST).
